Thank you for your interest in the Roger Williams Park Casino. Hopefully, this packet will provide you with the information you need to plan a successful party or event. Please read the packet carefully to gain a clear understanding of your rights and obligations as a Casino Lessee.

Before scheduling an event at the Park Casino, there are four stipulations in the rental contract of which you should be aware:

    IMPORTANT STIPULATIONS

    1. A deposit of FIVE HUNDRED ($500.00) DOLLARS is required to hold a date. This deposit is non-refundable and the balance of the rental fee is due thirty (30) days prior to the event.
    2. In addition to the rental fee, you will be required to submit a FIVE HUNDRED ($500.00) DOLLAR DAMAGE DEPOSIT. Barring any damages, this deposit will be returned to you following the event.
    3. The Casino will not be held responsible for any items left in the facility after the rental period. All items should be removed from the facility immediately following the event.
    4. Only trained and certified bartenders are allowed to dispense alcohol at the Park Casino. Renters are also required to obtain a one-day liquor license from the Providence Bureau of Licenses. Applications will be included with your rental contract.

    CUSTODIANS/BUILDING PERSONNEL

    During events, there are two Casino staff members on duty. The cost of the Casino staff is included in your rental fee. Besides the Facilities Coordinator, a custodian will be present at all times during your use of the Casino. Whenever alcohol is served, a Park Ranger will also be on duty.

    SECURITY

    Security personnel for the Casino is mandatory whenever alcohol is served. The cost of the Park Ranger is included in your rental fee.

    PARKING

    There is adequate parking on the Casino grounds for up to 75 vehicles and the area is well lit.

    TENTING

    Tents are permitted on the grounds of the Casino. Tents are not, however, permitted on the Bandstand. If tents are erected in order to accommodate groups larger than the capacity of the Casino (310 persons), a surcharge of $2.00 per guest, (as based on food service counts), will be assessed. The renter is also responsible for obtaining and handling all furnishings and other items relating to tent(s). Please inform the Facilities Manager if you plan on using a tent.

    CATERERS

    Only licensed caterers are allowed to serve food at the Roger Williams Park Casino.

    Tables and chairs for use at Casino rental events are available at no charge. Please advise the Casino Manager of furnishing requirements. Casino furnishings are not allowed to be used on the Bandstand.

    CASINO RENTAL FEES

    Effective June 1, 2005

    The Roger Williams Park Casino is rented on a five-hour basis. In addition, your caterer will receive two hours for set-up and one hour for break down. Additional hours can be secured at the rate of Three Hundred Fifty Dollars ($350.00) per hour. If your caterer or florist requires additional set up time, you will be charged accordingly.

    The Roger Williams Park Bandstand is available at an additional cost of $350.00, which includes the set-up and breakdown of Samsonite chairs for the Ceremony as well as a rehearsal.

     NOTE: Rates are based on a maximum attendance of 310 persons. A surcharge of $2.00 per person, as determined by food service counts, or the Facilities Manager, will be assessed for larger groups.

    The winter rate for the Roger Williams Casino is $1,700.00 for any Friday, Saturday or Sunday, from January 2 nd through March 31 st, there is an additional charge for the Ceremony.

    PIANOS AND MUSICIANS

    The Casino is fortunate to have a newly restored turn-of-the-century piano. However, due to the weight and delicate nature of the piano, it may only be used in the First Floor Reception Area. Please contact the Building Manager to ensure that the piano is properly tuned and operable.

    Musicians usually bring their own equipment. There are two (2) separate 20-amp circuits on the Casino Stage (second floor). As the Ballroom was built before the age of electronics, it tends to be very loud. Musicians should be advised of the acoustics and specifically asked to play softly.

    PUBLIC ADDRESS SYSTEMS

    For small groups, a podium with a built in microphone is available at no charge.

    THE ROGER WILLIAMS PARK BANDSTAND

    The use of the Roger Williams Park Bandstand, located directly behind the Casino, is permitted for wedding ceremonies and other gatherings for a fee of THREE HUNDRED AND FIFTY ($350.00) DOLLARS. Casino furnishings, however, are not allowed on the Bandstand and must be arranged for separately. Further, please be aware that you will be charged for any added labor associated with the set up or breakdown of chairs and tables on the Bandstand. Please advise the Casino Manager if you plan to use the Bandstand.

    LICENSES

    Casino renters are responsible for obtaining all applicable licenses from the Providence Bureau of Licenses. These usually include liquor and entertainment licenses. License applications are included with the rental agreement and are available at the Casino offices. Specific questions regarding license requirements should be directed to the Providence Bureau of Licenses, (401) 421-7740.

    CANDLES

    Any use of candles must be discussed with the Event Planner at the Roger Williams Park Casino before the event.

REGULATIONS PERTAINING TO CATERING AT
THE ROGER WILLIAMS PARK CASINO

Selection of Caterers

    The selection of a caterer for events to be held at the Casino facility is made entirely by the person having the party. However, the Facilities Manager must approve the caterer and the caterer must meet the Casino's specifications as listed below.

    All food services must be provided by a licensed and insured caterer.

    Copies of the caterer's food dispensing and catering licenses as issued by the State Health Department, as well as local licenses, must be on file at the Casino prior to the event. Caterers must also file a certificate of insurance for personal liability as well as liquor liability and property damage with the Casino offices prior to utilizing the facility.

    Rules for Caterers

    1. Caterers must be known to the Facilities Manager. If not known, a list of references and a resume must be submitted.
    2. Caterers are responsible for clean-up of their respective areas before and after the event.
    3. Caterers and their employees must, at all times, be properly dressed and conduct themselves in a manner which is suitable to the clients and the setting of the party.
    4. The Caterer will not have access to the property earlier than two hours prior to event. This time will be arranged with the Facilities Manager.
    5. The Catering Staff must remain on site until the last guest leaves the facility.
    6. The Caterer must leave the kitchens and any other facilities in the exact condition as found upon arrival (see kitchen requirements). Ovens, sinks, and disposal must be clean. Tables, chairs, and kitchens must be cleaned of paper, tablecloths, food, etc. The Parks Department will neither provide trash barrels nor the removal of trash and / or garbage. Food remnants, grease, or coffee grounds must not be put down the sink or left on the property.
    7. Each Caterer must have on file in the Casino offices a copy of their license and a certificate of insurance for liability and property damage including policy renewal date. This statement must be on file at least two weeks prior to the date of use.
    8. Prior to the caterer leaving the property, all areas must be checked and cleared by the Facilities Coordinator.

     Kitchen requirements are as follows:

    1. Silver, dishes, linens, or cooking utensils are not provided
    2. Kitchen and pantry facilities must be left in good order
    3. Caterers using the kitchen facilities will have limited use of kitchen stoves for warming prepared food only
    4. Washing of dishes and silverware will be permitted via the dishwasher provided
    5. Upon completion, the Caterer must:
      • Wipe all tables and chairs
      • Wipe all counters and sink areas
      • Sweep and mop all kitchen and preparation area floors
      • Bag and remove all garbage
      • Clean ovens, dumbwaiter interior and warmers
      • Do not wet mop any hardwood floors, do not lean chairs or tables against walls

    Rules for Bar Service

    1. Bartenders must be provided by the renter or their caterer; Certified Professional bartenders are required.
    2. Bartenders may not drink or smoke while working behind the bar.
    3. Bartenders must be appropriately dressed.
    4. Bartenders are responsible for their respective areas.
    5. Bartenders are responsible for removal of all refuse following the event.
    6. Bartenders are responsible for set-up and breakdown of bar area

    Summary

     The Facilities Manager will be informed of any and all changes. The Facilities Manager will have complete control over all vendors conducting business in the facility. The Facilities Manager can curtail the standards set forth.

    PROCEDURES FOR RESERVING THE USE OF THE CASINO FOR SPECIAL EVENTS

    1. Request for applications for reserving the Roger Williams Park Casino for special events should be made in writing or by telephone to the Casino offices at the Department of Public Parks. 
    2. The applicant will then be mailed a contractual agreement for lease of Roger Williams Park Facilities. This will tentatively reserve the facility for fourteen days (14). The contractual agreement will be returned by the applicant along with a FIVE HUNDRED ($500.00) DOLLAR NON-REFUNDABLE DEPOSIT, which will be applied to the rental fee. Should the event, for any reason be cancelled, the $500.00 deposit will be forfeited. The remainder of the rental fees are due thirty (30) days prior to the event date. 
    3. If the original date and alternate dates requested are not possible for reservation, written notification requesting additional dates or a cancellation of the reservation will be sent to the applicant. 
    4. Permission to lease the Casino for special events will not be finalized until approved in writing by the Superintendent of Parks and a DEPOSIT RECEIVED. 
    5. If the contractual agreement and / or the deposit are not received within the 14-day period (as stated in Procedure #2), the Casino will not be obligated to hold a specific date for the Lessee. 
    6. Full payment of the lease fee as well as a FIVE HUNDRED ($500.00) DOLLAR SECURITY DEPOSIT must be received within thirty (30) prior to the requested date. Payment for all building service fees, including the service of the custodial crew and the Facilities Coordinator is included in the lease fee. 
    7. If full payment for the lease and the deposit fees are not received within thirty (30) days prior to the event, said contract will be considered null and void and the Casino will be released of any responsibilities outlined in the contractual agreement.  
    8. The five hundred ($500.00) dollar security deposit (minus the cost of damages or penalties for authorized use or damage) will be refunded to the user thirty (30) days after the event takes place. (Emergency situations will be reviewed by the Department of Public Parks on a case- by-case basis). 
    9. The Event Coordinator or a staff representative from the Department of Public Parks must be present at all events to coordinate services and to monitor the Casino from opening to closing time. The cost for this service is included in the lease fee for a five (5) hour period only and any additional hours of use will be charged separately to the Lessee. 
    10. The use of alcohol is permitted, but will only be allowed under the license obtained by the Lessee from the Providence Board of Licenses for the approved event. Only certified, professional bartenders are allowed to serve alcohol. 
    11. All records, pertaining to the use of the Roger Williams Park Casino shall be open and available for inspection by the public at the offices of the Division of Public Programming Services of the Department of Public Parks, weekdays between the hours of 8:30am and 4:30pm (4:00pm during the months of July and August).
    12. All Liquor must be removed from the premises immediately following the event.

    For your convenience, we have added directions to the Casino from 95N and 95S. Please feel free to remove this and use it for your guests.
